Vooruit-exe

Samen met het jong softwarebedrijf Inceptive ontwikkelde Kunstencentrum Vooruit het innoverend softwareproduct “NeXTPLAN”, dat een totaaloplossing biedt voor de operationele behoeften van de evenementorganisatie binnen Vooruit (beheer kalender, planning resources – zowel personeel als materiaal en taakplanning, contact- en documentmanagement).

Together with young software company Inceptive, the Vooruit Arts Centre developed the innovating software tool ‘NeXTPLAN’, which offers a complete solution for the operational needs of event management within Vooruit (calendar management, planning resources – staff, equipment, tasks, contact and documents).

Andere organisaties die een demo zagen, gaven positieve feedback. Daarom willen Vooruit en Inceptive onderzoeken hoeveel organisaties geïnteresseerd zouden zijn in dit product. Het IWT, het agentschap voor Innovatie door Wetenschap en Technologie van de Vlaamse overheid, besliste recent om de NeXTPLAN-partners te ondersteunen zodat ze een KMO haalbaarheidsstudie kunnen laten uitvoeren. Met die studie willen Vooruit en Inceptive de technologische en economische uitdagingen onderzoeken waarbinnen NeXTPLAN kan evolueren naar een collaboratief planningsplatform, dat als een internetservice (SaaS model) ingezet kan worden in de brede markt van organisaties met planningsbehoeften.

Other organizations that were shown a demo reacted positively. That’s why Vooruit and Inceptive are now investigating how many organizations are interested in the product. The IWT, the Agency for Innovation of the Flemish Government, recently decided to support the NeXTPLAN partners so they could conduct a feasibility study. The study is aimed at researching the technological and economic challenges for the development of NeXTPLAN into a collaborative planning platform, which could be used as an Internet service (SaaS Model) by a broad range of organizations with planning needs.

Aanleiding voor het project NeXTPLAN / Development of the NeXTPLAN project

Al een aantal jaren is Vooruit op zoek naar een goede softwareoplossing ter ondersteuning van zijn activiteiten, een instrument dat afgestemd is op de specifieke eigenschappen van het planningsproces voor evenementen en dat cruciaal is voor een efficiënte werking van de organisatie. Enkele bestaande (en toonaangevende) softwarepakketten werden uitgebreid bestudeerd, maar geen van die pakketten voldeed aan de behoeften van Vooruit. Vooruit achtte het opportuun om te investeren in nieuwe software voor zijn planningsproces. De redenen op een rij:

Vooruit has been looking for a viable software solution to support its activities for a couple of years. Ideally, it should be a tool that is tuned to the specific nature and needs of the event planning process, which is crucial to efficient management. A few leading software packs were extensively studied, but none of these answered to Vooruit’s needs. Vooruit decided to invest in the development of new software for its planning process for the following reasons:

• 1. Centrale planning is de backbone van de werking van Vooruit, cruciaal voor de artistieke werking én voor de verhuur van zalen en diensten. Het is een proces waarbij veel mensen direct en indirect betrokken zijn. Elke procesverbetering die de backbone optimaliseert, genereert dan ook snel een exponentiële tijdswinst. / Central planning is the backbone of Vooruit, crucial to artistic management and for hall hire and related services. This is a process a lot of people are directly and indirectly involved in. Improvement to this backbone will inevitably lead to more efficient time management.
• 2. Hogere motivatie door minder administratie: het up-to-date houden van afspraken is een tijdrovende job die cruciaal is maar weinig satisfactie geeft. Wanneer rationaliseringen (besparingen) de werkdruk nog dreigen te verhogen, kan die druk worden opgevangen door meer coördinatie en minder administratie. / Higher motivation by reducing red tape: managing appointments is a time-consuming activity that offers little satisfaction. When rationalization (budget cuts) leads to a higher workload, this problem can be remedied by better coordination and reduction of red tape.
• 3. Geen synchronisatie tussen de planningen van verschillende afdelingen zorgt voor fouten. Als elke afdeling zijn planning baseert op een centrale planning, dient elke afdeling ook aanpassingen door te voeren als er iets verandert in de centrale planning, met een te grote foutenmarge (en stress) tot gevolg. / Lack of synchronization between planning schedules of departments causes problems. When each department bases itself on a central schedule, each department has to update info when changes are made to the central planning schedule, which leads to stress and too many unaffordable errors.
• 4. Werken met versnipperde informatie in verschillende mappen, is niet efficiënt. Een spreadsheet (vb. MS Excel) biedt te weinig mogelijkheden om vlot informatie aan te koppelen. Een ideale tool houdt alle afspraken, documenten, opmerkingen,... over één evenement bij elkaar. / Working with fragmented information stored in different folders is not efficient at all. A spreadsheet (e.g. MS Excel) offers too little options to process information quickly. The ideal tool stores all appointments, documents, comments related to one event in the same place.
• 5. Een optimale resource planning betaalt zichzelf snel terug. Kunnen we alles runnen met eigen mensen/materiaal of moeten we resources huren? Dat heeft een onmiddellijke impact op het budget. Dubbele boekingen zijn een nachtmerrie, onder- en overboekingen zijn duur… / Optimal resource planning quickly pays off. Can we get there with our own people and equipment or should we hire external resources? This has an immediate impact on the budget. Double bookings are a nightmare, overselling and underselling is costly.
• 6. Het contact management centraliseren in plaats van verschillende adressenbestanden naast elkaar te laten bestaan, bevordert de informatiedoorstroming. / Centralizing contact management instead of working with separate address lists will stimulate information sharing.
• 7. Gebruiksgemak en standaardisatie zorgen voor continuïteit. Wanneer er veel mensen bij een project betrokken zijn en hun tools zijn persoonsspecifiek, kan dat de “overdrachtstijd” (bij verschuivingen in de ploeg, ziekte, vakantie,...) gevoelig verhogen. / Ease of use and standardization create continuity. When a large group of people is involved in a project and their tools are person-specific, this can lead to an increase in “transfer time” (in case of illness, changes in the team, holidays).
